Planning Center integration

Keep Planning Center. Fix the door.

Planning Center is a great system of record. RollCall is what happens at the door — self-service check-in that holds up when everyone arrives at once. Connect them, and your people information flows across instead of being typed twice.

What the connection does

  • Brings your people across. Pick the Planning Center groups you run, and their people import into RollCall — matched carefully by Planning Center ID, email or phone. RollCall never merges two people on a name guess; if only the name matches, it asks you first.
  • Keeps details fresh. Rename someone in Planning Center and RollCall hears about it — updates arrive by webhook, with a nightly sync as the backstop.
  • Imports your attendance history. Check-Ins data from Planning Center comes across into RollCall's history, so your charts start with context instead of a blank slate.
  • Sends new people back. When someone registers themselves at the door in RollCall, one tap adds them to Planning Center too.

What it deliberately doesn't do

RollCall check-ins are not written back to Planning Center. Planning Center's public API doesn't allow other tools to create check-ins, so attendance flows one way: from Planning Center into RollCall. We'd rather tell you that plainly than let you find out after you've planned around it — and any tool that claims full two-way attendance sync through the public API is overselling.

In practice: Planning Center stays your system of record for people; RollCall becomes your live view of the room and your attendance history. Disconnect any time — everything you imported stays in RollCall, and nothing in Planning Center is touched.

Sign-in and security

Connecting uses Planning Center's own sign-in (OAuth). You log into Planning Center directly — RollCall never sees your password — and you can revoke access from either side at any time. The connection tokens are stored encrypted, and each group's connection is completely separate.

Switching it on

The integration is available on any plan at no extra cost, and it's enabled per group — drop us a line or mention Planning Center when you sign up, and it'll be switched on for your group. Then it's Settings → Integrations → Connect, and you pick your groups.

Common questions

Does RollCall sync attendance back to Planning Center?

No — and we say so up front. Planning Center's public API doesn't let other tools create check-ins, so attendance flows one way: from Planning Center into RollCall. People information does flow both ways: you can import people from Planning Center and add new RollCall registrations back to it.

What happens if someone exists in both systems?

RollCall matches on Planning Center ID first, then exact email, then exact phone. If only the name matches, it asks you to confirm they're the same person rather than guessing — two different people are never merged automatically.

Do imported people count toward my member limit?

Yes — an imported member is a member like any other, and RollCall warns you about the numbers before an import so there are no surprises with the free plan's 30-member cap or Pro's included 150.

What does the integration cost?

Nothing extra — it's available on any plan, including Free. It's switched on per group; just ask.

What happens if I disconnect?

The connection and its access tokens are removed, and nothing else changes: everyone you imported stays in RollCall with their history, and your Planning Center data is untouched.
