1. Who you are dealing with
RollCall is operated by Ephraim Stocks, Christchurch, New Zealand ("RollCall", "we"). You are the organisation that creates a group and its account ("you").
2. What the service is
RollCall is a web application for running check-in and attendance for a group: members sign themselves in on a shared screen, leaders see who is present, and administrators manage members, groups and reports. It runs in a browser and installs as a web app; there is no separate native app.
3. Your account
- You must give accurate details and keep your password secure. Anyone with your admin password can see your entire member list.
- You are responsible for everything done under your account, including by the leaders you give access to.
- You must be old enough to enter a contract, and authorised to act for your organisation.
- One free Starter group per account. Multiple groups require Pro.
4. Your responsibilities for member data
You decide what to collect about your members and why. You are the agency under the New Zealand Privacy Act 2020, which means it is your job to:
- Tell members — and, where they are children, their parents or caregivers — what you collect and why.
- Collect only what you need, and keep it accurate.
- Handle requests for access, correction or deletion. The tools to do all three are built in.
How we handle that data is set out in the Privacy Policy.
5. What you may not do
- Use RollCall for anything unlawful, or to harass or endanger anyone.
- Upload data you have no right to hold.
- Try to reach another organisation's data, break the security rules, or probe the service for weaknesses without written permission. (Found something? Please tell us — we would rather hear from you.)
- Resell or white-label RollCall without our agreement.
6. Plans, billing and cancelling
- Starter is free — up to 30 members, one group, unlimited leaders. No card required.
- Pro is US$29/month, or US$295.80/year (a 15% saving). It includes 200 members; beyond that, an extra US$10 per additional 50 members is added automatically as your group grows. All prices are in US dollars and exclude any taxes that may apply in your country.
- The 14-day free trial starts when you begin it. Your card is collected at the start and nothing is charged during the trial. If you have not cancelled by the end of the 14 days, the first payment is taken and the subscription continues.
- Cancel any time from Settings → Subscription, which opens Stripe's billing portal. Cancelling stops future charges; your group keeps working on the free Starter plan. We do not refund part-used periods, but you keep Pro until the end of the period you have paid for.
- If a payment fails, nothing switches off immediately. Check-in and registering keep working, and you keep Pro features for 14 days while you fix your card. After that the group moves to the free Starter plan — your data is untouched and Pro returns as soon as payment succeeds.
- Prices can change with at least 30 days' notice by email. Changes never apply to a period you have already paid for.
7. Your data is yours
You own your member and attendance data. We claim no ownership of it and will not use it to train anything, sell it, or share it beyond what the Privacy Policy describes. You can export it (CSV export is a Pro feature) or ask us to delete it at any time.
8. Availability
RollCall is a young product run by one person. We work hard to keep it up and running, but we do not promise a particular uptime, and there may be occasional interruptions for maintenance or beyond our control. Because check-in matters most on the night, keep a simple fallback (pen and paper will do) for the rare occasion something is down.
9. Suspension and ending the agreement
- You may stop using RollCall at any time; cancel your subscription first if you have one.
- We may suspend or close an account that breaches these terms, or that puts members' data or the service at risk. Except where the breach is serious, we will contact you first and give you a chance to put it right.
- If we ever discontinue RollCall, we will give at least 60 days' notice so you can export your data.
10. Liability
RollCall is provided as is. To the extent the law allows, we are not liable for indirect or consequential loss, and our total liability for any claim is limited to the amount you paid us in the 12 months before it arose. Nothing here limits rights that cannot be limited by law — including, where the New Zealand Consumer Guarantees Act applies, your rights under it. Where you use RollCall for business purposes, you agree the Consumer Guarantees Act does not apply.
11. Changes to these terms
If we change these terms in a way that materially affects you, we will email the address on your account at least 30 days before it takes effect. Continuing to use RollCall after that means you accept the change.
12. Law
These terms are governed by New Zealand law, and the New Zealand courts have jurisdiction.
